Status: Part-Time

Office Hours: Tuesday–Wednesday, 8:30am–3:30pm
Total Hours: Approximately 14 hours per week

Compensation: $15-$20/hour

Position Overview

The Administrative Assistant supports the day-to-day ministry and operations of Fall Line Church by providing strong administrative coordination, clear communication, and consistent follow-through. This role helps ensure that people are cared for, information is processed accurately, ministry teams are supported, and Sundays and church events are prepared with excellence.

The ideal candidate is organized, dependable, relational, detail-oriented, and able to manage multiple responsibilities while maintaining a heart for people and the mission of Fall Line Church.

Primary Responsibilities

Administrative Support & Office Coordination

  • Provide administrative support to the Senior Pastor and church staff.
  • Maintain and update the church calendar, including ministry events, meetings, rentals, and facility usage.
  • Coordinate facility rentals, including communication regarding expectations, access, keys, and cleanup.
  • Maintain and order office supplies.
  • Assist with church registrations and event administration.
  • Coordinate sign-up desks for major events and registrations.
  • Assist with scheduling cleaners based on the church calendar.
  • Support weekly staff meetings and internal administrative needs.

Connection Card Processing & Guest Follow-Up

  • Process Connection Cards each week and ensure appropriate follow-up.
  • Enter first-time guests into Planning Center workflows and coordinate handwritten follow-up cards.
  • Process decisions and next steps including salvations, baptisms, Discovery, Serve Team interest, and small groups.
  • Route ministry follow-up to the appropriate staff or ministry leader.
  • Process prayer requests and communicate them to the appropriate pastoral and care teams.
  • Maintain accurate records and workflows in Planning Center.
  • Assist with scheduling Next Steps and usher teams through Planning Center.

Care Team Coordination

  • Serve as an administrative point of coordination for the Care Team.
  • Communicate prayer requests and care needs to appropriate leaders.
  • Help ensure significant care needs receive timely follow-up.
  • Coordinate communication between staff, care volunteers, and individuals requesting care.
  • Maintain appropriate confidentiality when handling sensitive information.

Staff & Elder Communications

  • Coordinate regular communications to church staff and elders.
  • Distribute prayer requests, ministry updates, schedules, and other relevant information.
  • Help ensure important information is communicated clearly and in a timely manner.
  • Assist the Senior Pastor with internal staff communication and follow-up.

Events & Ministry Support

  • Assist with administrative preparation for Discovery, baptisms, child dedications, and other church events.
  • Coordinate security scheduling for special events.
  • Create and manage event sign-up sheets and registrations.
  • Help ensure hospitality and event supplies are available for major church events.
  • Coordinate food and hospitality needs as assigned.
  • Maintain basic kitchen, hospitality, coffee shop, and church supplies.

Qualifications

  • Strong organizational and administrative skills.
  • Excellent written and verbal communication.
  • Ability to manage multiple projects, deadlines, and ministry needs.
  • Strong attention to detail and consistent follow-through.
  • Comfortable with technology and church management systems; Planning Center experience preferred.
  • Working knowledge of social media platforms and digital communication.
  • Ability to handle confidential and sensitive information with discretion.
  • Relational, dependable, flexible, and able to work well with staff and volunteers.
  • Alignment with the mission, values, and ministry philosophy of Fall Line Church.
